Universal Coach Institute, LLC understands that your privacy is important to you and that you care about how your information is used and shared online. We respect and value the privacy of everyone who visits Our Sites and will only collect and use information in ways that are useful to you and in a manner consistent with your rights and Our obligations under the law.

This Policy applies to Our use of any and all data collected by us in relation to your use of Our Sites. Please read this Privacy Policy carefully and ensure that you understand it. Your acceptance of Our Privacy Policy is deemed to occur upon your first use of Our Sites AND You will be required to read and accept this Privacy Policy when signing up as a student. If you do not accept and agree with this Privacy Policy, you must stop using Our Sites immediately.

1. Definitions and Interpretation

In this Policy the following terms shall have the following meanings:

“UCI” means Universal Coach Institute, LLC

“Client”, “Customer”, “Student”, “User”, “You” and “Your” means you, the person accessing this website and accepting Universal Coach Institute’s terms and conditions.

“Visitor” means you, just a visitor, not a student, client, or customer

“Cookie” means a small text file placed on your computer or device by Our Sites when you visit certain parts of Our Sites and/or when you use certain features of Our Sites.

3. Scope – What Does This Policy Cover?

This Privacy Policy applies only to your use of Our Sites. It does not extend to any websites that are linked to from Our Sites, or shared by other users. We have no control over how your data is collected, stored or used by other websites and We advise you to check the privacy policies of any such websites before providing any data to them.

The Type of Information We Collect from You

4. Personal Information from Students
In order to offer Our Training Programs and Services, we need to collect information from our customers. Here is a summary of the information that we collect from our customers and what we do with it:

4.1 We collect your name, email address, address, telephone number, and IP address. We need this information to provide you with our services/program, for example, to confirm your identity and contact you. It’s also needed to allow individuals to access our services/programs for processes such as processing enrollments, authentication, or otherwise administering your course.

4.2 As a student progresses through the program(s) we collect information about how they interact with the course material, including but not limited to, their progress through the course, quiz scores, survey results, discussion or forum contributions and other student activities.

4.3 We collect data about Our Sites hosted web pages that you visit. We also collect data about how and when you access your account in order to give you access and at the same time improve our services.

4.4 When transactions between you and Our Sites involve payment by credit card or debit card we will collect information related to the transaction as part of the course of doing business with you, including billing address, telephone number, and other information related to the transaction. We do not have access to your personal financial information such as your card numbers. That information is stored and controlled by Stripe if you are using a credit/debit card or PayPal if you choose PayPal upon registration.

4.5 Final Exams – Upon completion of Our Coach Training Program, students submit a final exam which is a recorded coaching session between you and someone else. Your final exam is strictly confidential and is only shared with UCI’s coach trainers for grading. Note: Please ensure you obtain permission from your client for the exam. Also, ensure that you have a coaching agreement in place that includes a confidentiality agreement prior to recording.

This information is collected when you sign up for our Training Programs when you access our Student Center or otherwise provide us with the information. In some circumstances, when you have given us express permission, we will also use and store your personal information.

5. Information from Partners, Affiliates, Ambassadors, and Experts

Individuals who qualify as partners, ambassadors, affiliates or experts are businesses or individuals that have agreed to specific terms to work with UCI to promote Our Training Program by a) referring clients to UCI; b) developing UCI sites or themes; c) developing apps using the UCI Application Interface (API) for customer use or d) partnering with UCI for the purposes of promotion or collaboration.

5.1 We may collect your name, company name, website, social media usernames/handles, phone number(s), address, business type, email address, PayPal Account, and GST/HST number (or local tax identifiers).

5.2 We collect data about the UCI-hosted web pages that you visit and how and when you access your account, including information about the device and browser you use, your network connection and your IP address. We use this information to give you access and to improve our Services.

5.3 We collect Personal Information about your customers that you share with us or that they provide to use directly. We use this information to work with you and to provide our Services to your customers.

5.4 We may also use Personal Information in other cases where you have given us express permission.

5.5 We collect this information when you sign up for a Partner, Affiliate, Ambassadors, or Expert Account, when you sign up one of your customers for our Services, or when your customers sign up themselves. We also collect any additional information that you might provide to us.

6. Information from Our Sites visitors and support users

6.1 We collect information from visitors to Our Sites and your IP address. We also collect information such as when you visited, the website from where you came prior to visiting us, the website where you go when you leave our website, your computer’s operating system, location data, and the type of web browser that you are using.

6.2 We also collect Personal Information submitted by you via any messaging or email feature available from any of our websites.

6.3 We may also receive Personal Information when you submit help tickets or make other requests to Our Sites.

6.4 From telephone support users, we collect your name and phone number.

6.5 From support users (people who email us for support), we collect your name, email address, location, Our Sites address, and email conversation with a UCI support agent.

6.6 From forum and discussion users, we collect your name.

6.7 We use this information to provide and enhance our Services (including servicing your account, if applicable), and answer any questions you may have.

We collect this information when you visit Our Sites’ hosted web pages, use Services offered on Our Sites or engage with us either by email, web form, instant message, phone, or post content on or through Our Sites (including forums, blogs and via any Messaging Feature). We also collect any additional information that you might provide to us.

7. Cookies: Information from cookies and similar tracking technology

We collect cookies or similar tracking technologies. This means information that Our Sites’ server transfers to your computer. This information can be used to track your session on Our Sites. Cookies may also be used to customize Our Sites’ content for you as an individual. If you are using one of the common Internet web browsers, you can set up your browser to either let you know when you receive a cookie or to deny cookie access to your computer.

7.1 For residents of the European Economic Areas (EEA) All Cookies used by and on Our Sites are used in accordance with current EU Cookie Law.

This, in turn, enables Us to improve Our Sites and the products and services offered through it. You do not have to allow Us to use these Cookies, as detailed below, however, whilst Our use of them does not pose any risk to your privacy or your safe use of Our Sites, it does enable Us to continually improve Our Sites, making it a better and more useful experience for you.

7.6  The analytics service(s) used by Our Sites use(s) Cookies to gather the required information. Certain of these Cookies may be placed immediately when you first visit Our Sites and it may not be possible for Us to obtain your prior consent. You may remove these Cookies and prevent future use of them by following the steps set out below.

7.7 You can choose to enable or disable Cookies in your internet browser. Most internet browsers also enable you to choose whether you wish to disable all cookies or only third-party cookies. By default, most internet browsers accept Cookies but this can be changed. For further details, please consult the help menu in your internet browser or the documentation that came with your device.

7.8 You can choose to delete Cookies at any time however you may lose any information that enables you to access Our Sites more quickly and efficiently including, but not limited to, login and personalization settings.

8. Information that we share with third parties

UCI contracts with third parties to help provide you with our Services and we may share Personal Information with them to support these efforts. In certain limited circumstances, we may also be required to share information with third parties to conform to legal requirements or to respond to lawful requests by public authorities, including to meet national security or law enforcement requirements. Where any of your data is required for such a purpose, We will take all reasonable steps to ensure that your data will be handled safely, securely, and in accordance with your rights, Our obligations, and the obligations of the third party. We may also receive Personal Information from our partners and third parties.

8.1 Personal Information may be shared with third parties to prevent, investigate, or take action regarding illegal activities, suspected fraud, situations involving potential threats to the physical safety of any person, violations of our Terms of Service or any other agreement related to the Services, or as otherwise required by law.

8.2 Personal Information may be shared with third-party vendors to help us conduct marketing and/or advertising campaigns.

8.3 Personal Information may also be shared with a company that acquires our business, whether through merger, acquisition, bankruptcy, dissolution, reorganization, or other similar transaction or proceeding. If this happens, we will post a notice on our homepage.

9. WordPress and Personal Information

Our Sites are developed using WordPress a content management and web development platform.

Below is information about how we collect personal information using a WordPress platform

9.1 Comments

When visitors or students leave comments on the site we collect the data shown in the comments form, and also the IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

9.2 Media

As a student, if you upload images in the forum or groups of our Student Center, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

9.3 Cookies

If you leave a comment on Our Sites you may opt-in to save your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you are a student and you log in to Our Student Center, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

If you edit or publish an article, an additional cookie will be saved in your browser. This cookie includes no personal data and simply indicates the post ID of the article you just edited. It expires after 1 day.

10. Retention periods

Information collected on Our Sites will only be retained for as long as necessary to fulfill the purpose for which it was collected. In general, we will automatically delete your Student account information 2 years after you no longer have any active services with us. Since we offer a service for customers worldwide and we need to comply with regulations across the globe in regard to retention of personal information related to contractual agreements, provision of services, financial, billing, invoicing operations and tax calculations, a versioned copy of your contact, payment and billing personal data associated with your past invoices is stored for a period of 7 years and 10 years for payroll records after deactivating an account . Your personal data is deleted automatically by our systems in accordance with these retention periods.

11. Terminating your relationship with us

11.1 We will continue to store archived copies of your Personal Information for legitimate business purposes and to comply with the law.

11.2 We will continue to store anonymous or anonymized information, such as website visits, without identifiers, in order to improve our Services.

12. What we don’t do with your Personal Information

12.1 We do not and will never share, disclose, sell, rent, or otherwise provide Personal Information to other companies for the marketing of their own products or services.

12.2 If you are a student or customer using Our Services, we do not use the Personal Information we collect from you or your customers to independently contact or market to your customers. However, UCI may contact or market to your customers if we obtain their information from another source, such as from the customers themselves.

13. Keeping your personal information secure

13.1 We follow industry standards on information security management to safeguard sensitive information, such as financial information, intellectual property, employee details and any other Personal Information entrusted to us. Our information security systems apply to people, processes, and information technology systems on a risk management basis.

13.2 We exclusively process payments through PCI DSS Level 1 payment providers, which is the highest level of compliance available.

13.4 We use Secure Sockets Layer (SSL) software to encrypt the information you enter on Our Sites in order to protect its security during transmission to and from Our Sites. When storing information, we protect its security by encryption and pseudonymization of critical data.

13.5 We maintain physical, electronic and procedural safeguards in connection with the collection, storage, and disclosure of personally identifiable customer information. Our security procedures require us in some cases to request proof of identity before disclosing personal information to you.

13.6 To protect against unauthorized access to your account and information, we implement session management and login expiration mechanisms. As an additional safety measure, be sure to sign off when you finish using your account and your computer.

Although we take all these measures to maintain the safety and security of your personal information, please note that no transmission over the Internet can ever be guaranteed to be secure. Consequently, please note that we cannot fully guarantee the security of any personal information that you transfer over the Internet to us.

14. Residents of the European Economic Area (“EEA”)

UCI works with merchants and users around the world, including in the EEA. Please note that as part of our service, we may transfer your personal information to other regions, including to Canada and the United States.

Additionally, if you are located in the EEA, you have certain rights under European law with respect to your personal data, including the right to request access to, correct, amend, delete, or limit the use of your personal data. 15. How do we protect your information across borders?

Universal Coach Institute, LLC. is a United State of America company, we provide services to customers and our technology processes data from users around the world. Accordingly, UCI may transmit your personal information outside of the country, state, or province in which you are located.

If you are located in the EEA or in Switzerland, and believe that your Personal Information has been used in a manner that is not consistent with the relevant privacy policies listed above, please contact us using the information below.

16. User Names and Passwords

The safety and security of your information also depend on you. Where we have given you (or where you have chosen) a username and password for access to certain parts of Our Sites, you are responsible for keeping the username and password confidential. Do not give your password to anyone. If you enter a section of Our Sites, that requires a password, you should log out when you leave. As a safety precaution, you should also close out of your web browser completely and re-open it before viewing other parts of the Internet.

17. Accessing and Correcting your Information

If you have a customer or student account with us, you can review and change your personal information by logging into the website and visiting your account profile page. You may also send us an e-mail at admin@universalcoachinstitute.com to request access to, correct or delete any personal information that you have provided to us.

We cannot delete your personal information except by also deleting your user or student account. We may not accommodate a request to change information if we believe the change would violate any law or legal requirement or cause the information to be incorrect.

18. Your Right to Withhold Information and Your Right to Withdraw Information After You Have Given it

18.1 As a visitor You may access certain areas of Our Site without providing any data at all. However, to use all features and functions available on Our Site you may be required to submit or allow for the collection of certain data.

18.2 You may restrict your internet browser’s use of Cookies. For more information, see section 7.

18.3 Visitors may withdraw consent for Us to use your personal data at any time by contacting Us using the details below and We will delete Your data from Our systems. However, you acknowledge this may limit Our ability to provide the best possible products and services to you.

18.4 Students and Members may also withdraw, however, your status with UCI will be withdrawn as well. In addition, we continue to hold on to information such as your certificates and further information as stated in Section 10 of this privacy policy.

19. Your Voluntary Disclosure of Information to Third Parties Who Are Not Out Suppliers

You may choose to provide personal information to website visitors or other third parties who are not our suppliers. Please use caution when doing so. The privacy policies and customs of these third parties determine what is done with your information.

20. Autoresponders

We may use autoresponders to communicate with you by e-mail. To protect your privacy, we use a verified opt-in system for such communications and you can always opt-out of such communications using the links contained in each autoresponder message. We do not knowingly provide services or sell products to children. If you are below the age of 18, you may use our website only with the permission and active involvement of a parent or legal guardian.
